Welcome to 3B, a comprehensive Salesforce-native platform designed to automate and enhance recruitment operations for staffing agencies and end customers alike. Our suite of applications streamlines every aspect of the recruitment process, from candidate sourcing to workforce management. Below is a detailed overview of each component that makes up the 3B platform.

3B Forms

3B Forms is a dynamic form-building solution that allows you to create and publish customizable forms externally. Data collected through these forms is seamlessly integrated into Salesforce, enabling efficient data management and automation. Key uses include:

  • Job Applications: Collect candidate information directly into your system.
  • Reference Automation: Streamline the collection of references for candidate verification.
  • Data Collection: Gather essential information for various business needs.
  • Timesheet Approval: Simplify the submission and approval process for timesheets.
  • Candidate Referrals: Facilitate the referral process to attract more talent.
  • Bank and Detail Collection: Securely collect sensitive information like banking details.

3B Vendor Management System (VMS) Module

The 3B VMS Module allows clients to submit jobs through a client portal and enables sub-vendors to propose candidates. It supports two primary workflows:

Fully Autonomous VMS

  • Client Control: Clients create jobs and search for vendors independently.
  • Vendor Matching: Clients invite matched vendors and review their candidate proposals.
  • Role of Master Vendor: No elevated privileges; operates on the same level as other vendors.

Manual VMS

  • Master Vendor Management: The master vendor oversees job postings and vendor interactions.
  • Sub-Vendor Collaboration: Master vendor invites sub-vendors to propose candidates.
  • Candidate Vetting: Master vendor reviews and vets candidates before presenting them to the client.

Participants

  1. Master Vendor: The primary agency (3B's client) managing the staffing process.
  2. Master Vendor Candidate: Candidates sourced directly by the master vendor.
  3. Client: The end client requiring staffing solutions.
  4. Sub-Vendor: Secondary agencies participating in the recruitment process.
  5. Sub-Vendor Candidate: Candidates proposed by sub-vendors.

Integration with Other Modules

  • Onboarding: Utilize the Onboarding module for seamless sub-vendor and candidate onboarding.
  • CLM for CV Presentations: Use 3B CLM to manage CVs and other candidate documentation.

3B Product Updates and Platform Compatibility Policy

1. 3B Platform Dependency

3B products are built natively on the Salesforce Platform and depend on Salesforce-provided features, APIs, authentication models, and security frameworks. Bearing this in mind, Salesforce may introduce changes, deprecations, or enforcement actions at any time, including outside of major seasonal releases.As a result, 3B MUST periodically update its products to remain secure, supported, and compatible with the Salesforce Platform and to ensure the 3B products your business access and utilise is always up to date and secure.


2. Types of 3B Updates

a) Scheduled Product Upgrades:

3B delivers regular product upgrades aligned with Salesforce’s major annual release cycle (currently up to four releases per year). These may or may not be necessary product enhancements.

These upgrades may include:

  1. New functionality. This includes new features that were not available in the product before and enables your business to expand the use of the 3B software.
  2. Performance improvements. This includes enhancements being introduced into the product. This may mean that certain functionality your team has been using has changed or been enhanced.
  3. Deprecations of older behaviour. This includes functionality that requires a formal change.
  4. Alignment with Salesforce best practices. This includes push upgrades (patches) which is out of 3B's control and will require immediate action if linked to core 3B product architecture (ie security)

Advance notice and documentation will be provided to all clients, suppliers and partners. These will also be published on our 3B Know How page(s) for these stakeholders to review and action.


b) Security & Compliance Updates (Push Upgrades):

From time to time, Salesforce may require immediate changes to authentication, security, or platform behaviour (for example, enforcement of new app security models).

In such cases, 3B may deploy mandatory updates on shorter notice to:

  1. Maintain platform compatibility
  2. Meet Salesforce security requirements
  3. Protect customer data and system integrity

These updates may be applied outside the regular release schedule.


3. Communication & Documentation

For all upgrades, 3B will:

  1. Publish release notes and change documentation on our 3B KnowHow site
  2. Maintain a public change-log (currently available at 3bknowhow.com)
  3. Provide reasonable notice periods where Salesforce timelines allow. There might be instances where Salesforce pushes changes to the platform which is outside our control and we would need to align and push these changes to our clients at short notice.

For security-driven changes, notice periods may be shorter and dictated by Salesforce enforcement deadlines.


4. Customer Responsibilities

Customers are responsible for:

  1. Keeping their Salesforce org reasonably up to date and prioritising 3B product upgrades where necessary. It is 3B's recommendation to ensure that clients have a regular upgrade review schedule diarised (at least quarterly) to align to latest packages.
  2. Maintaining compatibility with supported versions of 3B products. Reviewing the 3B KnowHow site regularly (either by an internal Salesforce resource or support partner)
  3. Reviewing release notes and documentation provided on the 3B KnowHow site
  4. Addressing required configuration changes within their Salesforce org (including email templates, custom flows, permissions, or customisations) and keeping them updated in line with the latest 3B package requirements.

Where a customer remains on significantly older versions or has heavily customised configurations, additional work may be required to achieve compatibility. Please bear in mind that this could attract additional time, effort and costs.


5. Professional Services & Legacy Versions

Upgrades required solely to maintain compatibility with Salesforce platform changes are included in standard product maintenance only when customers are operating within supported versions. Where customers are multiple versions behind, or where upgrades require bespoke remediation due to customer-specific configurations, this work may require Professional Services and may be scoped separately.


6. No Guarantee of Backward Compatibility

While 3B endeavours to minimise disruption, backward compatibility with all historical versions cannot be guaranteed indefinitely, particularly where Salesforce deprecates or enforces changes at the platform level.
